Hosting events serves a variety of purposes, ranging from bringing friends and family together, celebrating your employees to raising awareness of a new brand.

The aspects of hosting a well-executed event can be – overwhelming and as the event planner, the most important part for you is being present for the guests & vendors.

You may wonder why people host events in the first place.

Events provide a platform for togetherness, celebration and connection with others. On the more private event side – people host events to celebrate birthdays, anniversaries, and weddings. On the corporate side – companies host events to show their appreciation for their employees and those they do business with throughout the year, as well as launching a new product, networking and moving to a new location.

Though hosting an event can be a challenging task, the rewards are immeasurable. Events have the power to create long-lasting memories and bring people together in a meaningful way.

Whether it is a small gathering or a large conference, events have the potential to impact individuals in ways that can be life-changing.

Before you even begin to think about the color scheme, define the event’s purpose and what you are wanting to achieve. This will help you decide on the size of the event so that you can book vendors accordingly.

*For instance – You don’t want to spend time looking at venue space or considering your home or office until you have an idea of size. A new brand awareness event would likely be larger than an employee appreciation event.

Defining the purpose is the FIRST place to start. You will be more organized and have way more piece of mind with direction.

Coming up with a budget that is realistic is another important piece. Always include room for the unexpected and decide on your non-negotiables. Food and bev is a consistent item (and a requirement) for events and so is the venue space whether it’s your home, office or venue. Create a list of non-negotiables if a great starting point for determining budget.

Lastly, I cannot tell you HOW IMPORTANT it is to hire reliable vendors with great reviews. Vendors that are experts in their craft and business, is the #1 item that you need so that you can focus on being the HOST!

You want to look for vendors that will elevate the event and make your hosting duties easier – not more complicated. There are a lot of things going on DAY OF and a slew of things that can happen. Don’t cut corners here! Using a larger portion of your budget to hire top notch vendors will leave your guests with that “WOW” factor and you with ease! Trust me – it’s worth every penny.

Look for caterers that provide you with options and are also efficient and timely. Check out entertainment that will match the theme of your event and also come well-equipped with the best equipment. Hire a beverage or bar service that not only makes the drinks but pays very close attention to the details and needs of the event – the open bar is the FIRST impression!
